Privacy Statement

The College for Life Sciences (CfLS) is a Fellowship program of the Wissenschaftskolleg zu Berlin. The website for CfLS Fellowship applications https://cfls-application.wiko-berlin.de/ (hereafter: "application platform") is operated by the Wissenschaftskolleg.
The Wissenschaftskolleg ensures the greatest possible protection of personal data, in accordance with the General Data Protection Regulation (GDPR), the Bundesdatenschutzgesetz (BDSG, German Federal Data Protection Act) and the Telekommunikation-Telemedien-Datenschutz-Gesetz (TTDSG, German Act for Privacy in Telemedia and Telecommunication).

With this privacy statement we wish to inform you about how and for what purposes we process your personal data. At the same time, by providing this information, we fulfill our obligation to transparency according to Art. 13 GDPR.

Registration and login on the application platform

We provide you with the opportunity to register for the application platform. When you register, we collect your first and last name, email address and the password you have chosen. We process this data to provide you with an account to which you can log in and submit an online application. We will send you an email confirming your registration to the email address you have provided. The legal basis for the processing is Art. 6 para. 1 lit. b) GDPR.

We store your account (email address and password) and the data contained therein until you delete it or the respective application process is completed unless legal provisions prevent deletion, in particular if further storage is required in accordance with Art. 6 para. 1 lit. f) GDPR.

Application for a Fellowship

When you apply for a CfLS Fellowship, we process the data you provide solely for purposes of deciding about your application. We need the data to contact you and to assess your abilities and qualifications in relation to your application. The legal basis for the processing is Art. 6 par. 1 lit. b) GDPR.

In the course of your online application, we will collect and process your following personal data:

  • Family name, first name
  • Address
  • Telephone number
  • Email address
  • Application documents (application, project description, CV, publication list, declaration of agreement from the clinic management if applicable).

Providing data to third parties

The following persons have access to your data: the responsible Scientific Committee of the CfLS, external evaluators if applicable, responsible staff members of the Wissenschaftskolleg.

Beyond that, your application data will not be used by or transmitted to third parties.

Your data will not be transferred to so-called third countries outside the European Union or the European Economic Area.

Duration of data storage / Deletion of data

If your application is successful, we will store and archive your application documents on internal servers of the Wissenschaftskolleg. In this case, your personal data will be included in our internal database and we will inform you separately at the given time.

If we are unable to offer you a fellowship, we will delete your application data and all data and documents related to the selection process no later than three months after we have informed you of the rejection.

In any case, your application platform account (email address and password) will be deleted after the completion of the respective application process.

Data security

We have taken extensive technical and organizational measures to protect the data collected in the context of your application and the documents you submitted from manipulation and unauthorized access. In particular, the transmission of your online application is encrypted in accordance with the recognized state of the technology.

Data collected to avoid and solve technical problems

When you visit the application platform, your browser automatically sends information to our web server. We may process this information to ensure a steady and reliable connection between you and our Site and to solve any technical problems. The data involved are:

  • Your IP address
  • Date and time of the visit
  • Kind and version of the browser
  • Operating system
  • URL of the websites visited earlier, if they are linked to us
  • Requested domain/resource
  • Domain name of the requesting Internet service provider
  • Report of successful data access
  • Search term if a search machine is used

The aforementioned purposes also constitute the legitimate interests we pursue with processing the data according to Art. 6 para. 1 lit. f) GDPR.

Cookies

When you log onto the CfLS application platform, small text files called cookies will be deposited in your browser.

We use cookies to make your visit on our site more enjoyable and to provide you with certain functions: if you use our login feature, a session cookie will allow you to remain logged in for the respective browser session. When you close your browser, these cookies will be erased automatically.

You can set the respective options on your device to accept or reject cookies generally or to be asked in each specific case. Browsers differ in the way they administer cookie settings. The help menu of your browser will explain how you can change your cookie settings.

Your rights

Insofar as the legal requirements are met you have the following rights:

  • in accordance with Art. 15 GDPR, to the degree specified therein, to obtain access to the personal data we have processed;
  • in accordance with Art. 16 GDPR, to demand the rectification of inaccurate or incomplete personal data we have stored on you;
  • in accordance with Art. 17 GDPR, to demand the deletion of the personal data we have stored on you;
  • in accordance with Art. 18 GDPR, to demand the restriction of the processing of your personal data;
  • in accordance with Art. 20 GDPR, to demand receipt, in a structured, customary, and machine-readable format, of the personal data that you have presented us with or to demand that it be transmitted to another responsible party;
  • in accordance with Art. 77 GDPR, to lodge a complaint with the competent supervisory authority, which in our case is the Berliner Beauftragte für Datenschutz und Informationsfreiheit, Friedrichstr. 19, 10969 Berlin.

RIGHT TO OBJECT PURSUANT ART. 21 GDPR:  YOU HAVE THE RIGHT, FOR REASONS RELATED TO YOUR PARTICULAR SITUATION, TO OBJECT AT ANY TIME TO THE PROCESSING OF PERSONAL DATA CONCERNING YOU, PROCESSING WHICH IS NECESSARY FOR A LEGITIMATE INTEREST ON OUR PART OR TO PERFORM A TASK IN THE PUBLIC INTEREST OR WHICH IS CARRIED OUT IN THE EXERCISE OF OFFICIAL AUTHORITY.

IN THAT CASE, WE SHALL NO LONGER PROCESS THE PERSONAL DATA UNLESS WE DEMONSTRATE COMPELLING LEGITIMATE GROUNDS FOR THE PROCESSING, WHICH OVERRIDE YOUR INTERESTS, RIGHTS AND FREEDOMS OR WHERE THE PROCESSING IS NECESSARY FOR THE ESTABLISHMENT, EXERCISE OR DEFENCE OF LEGAL CLAIMS.

Obligation to provide personal data and automated decision making pursuant to Art. 22 GDPR

There is no statutory or contractual requirement for you to provide us with personal data. However, without any data we may not be able to provide you with our services. We do not use automated decision-making, including profiling, referred to in Art. 22(1) and (4) GDPR.

Changes to our data protection policy

We will update this privacy policy from time to time, to be compliant with the most recent legal requirements or to update information on our processing of personal data, for example if we introduce new services. For your renewed visit, the new data protection declaration applies.
